Updated 2026-08-12 · Free accounts receivable tool

Enter bucket totals manually or load collectible USD invoices stored in this browser.

How to use invoice aging

Invoice aging helps separate normal open balances from invoices that need follow-up. A small business can review aging weekly, send gentle reminders for newer overdue balances, and escalate older balances only when the payment terms and client history support it. If you use the local invoice tracker, load its USD balances instead of retyping each bucket.

Accounts receivable aging buckets

BucketMeaningTypical review action
CurrentNot yet due under the agreed termsConfirm delivery and upcoming due date
1-30 daysRecently overdueSend a friendly reminder and confirm payment status
31-60 daysMaterially overdueEscalate follow-up and document the response
61-90 daysHigh collection riskAgree a dated payment plan or review next steps
90+ daysOldest open receivablesReview collectability, contract terms, and professional advice

Overdue share equals overdue receivables divided by total receivables. The calculator also estimates DSO as total receivables divided by monthly credit sales, multiplied by 30. Both are screening metrics: reconcile the balances and sales period before relying on them.

From the aging report to collection action

Start with the oldest material balance, verify the invoice and payment history, then choose the least aggressive next step that fits the situation. Prepare a past-due invoice email for a straightforward follow-up or a dated payment schedule when the client has acknowledged the debt but cannot pay it at once.

This calculator is for planning and collection prioritization. Reconcile the final numbers against your accounting system before making financial or legal decisions.

Frequently asked questions

What is an invoice aging report?

An invoice aging report groups unpaid accounts receivable by how long each balance has been outstanding, commonly current, 1-30, 31-60, 61-90, and more than 90 days overdue.

How do I calculate accounts receivable aging?

Use the invoice due date to place each unpaid balance in the correct age bucket, total each bucket, and divide overdue balances by total receivables to measure the overdue share.

How often should invoice aging be reviewed?

Many small businesses review aging weekly and reconcile it to their accounting system monthly. The right cadence depends on invoice volume, payment terms, and collection risk.

Can the aging calculator use balances from the invoice tracker?

Yes. Select Load USD balances from tracker to group collectible USD balances by due date. Other currencies are left out rather than combined under the wrong currency label.
